Summary/Objective:
The Senior Coordinator, Research and Special Projects, provides a range of reference services for Academy staff, Academy members, and donors, in addition to working on a wide variety of specialized tasks and projects assigned.

Essential Functions of the Job
  • Assist with research for Academy internal staff (Museum Curatorial, Film Archive, Film Programming) and Academy members and donors for a wide variety of projects and programs throughout the year, utilizing all available Academy Collection assets, including archival materials, photographs, books, periodicals, clippings, scholarly journals, oral histories, and graphic arts holdings.
  • Assist with the delivery of digital and facsimile Academy Collection assets and coordinate project orders to completion under at times urgent deadlines.
  • Staff the Library’s Orientation desk on hourly shifts throughout the week, typically for 4-8 hours per week, checking visitors in to the Library’s reading rooms and communicating Library policies and rules.
  • Process and create item-level records in the Academy Collection database for archival materials in preparation for digitization.
  • Coordinate and operate the Library's biweekly shuttle transporting collection items between Academy buildings in Los Angeles.
  • Prepare and send acknowledgement letters and emails for donations to the Academy Collection, updating the records in the database and physical files.
  • Route incoming voicemail to the appropriate departments.
  • Perform other duties as assigned.

Required Competencies:  
  • A bachelor’s degree from an accredited college or university is required.
  • Knowledge of film history and familiarity with print and online film research resources.
  • Experience with basic software systems, including Microsoft Office, and working knowledge of library software and databases.
  • Excellent oral, written and interpersonal communication skills. 
  • Strong service orientation and professional demeanor.
  • Ability to work effectively with colleagues, administrators, and patrons.   
  • Meticulous attention to detail, strong organizational skills, and the ability to balance multiple projects.
  • Ability to work both independently and collaboratively, both with long-term and deadline-driven projects.
  • Flexibility with regard to work assignments, as priorities and projects can change suddenly. 

Preferred Qualifications:
  • 1 year library/reference work experience 
  • Current MLIS students are encouraged to apply

Physical Demands:
  • Kneeling, bending, or stooping to access books and filed materials.
  • Ability to move boxes up to 30 lbs.
  • Ability to ascend and descend stairways.

Work Environment:
  • Work takes place inside in a shared office environment.

Hybrid Requirement: This position will require a minimum of 4 days per week of in-person work at the Academy's Margaret Herrick Library in Beverly Hills.

Compensation: The expected base salary range for this role is $23.84 - $24.56. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.)
